Our CRM and internal systems service moves customers, quotes, orders and team work out of spreadsheets and into one system. A project usually takes 6–12 weeks. The system, the code and the data are yours from day one.

Who is a custom CRM for?

A custom CRM is for companies that track customers and work through spreadsheets, email and chat groups. Typical clients have a sales team, prepare quotes and orders, or run field staff. Some tried an off-the-shelf CRM and their team never took to it.

A CRM is a system where every record about a customer lives in one place. A ready-made product may be enough for you, and we will say so if it is.

What do we build?

We map how your team works today and turn it into a web application. Customer cards, call notes, quotes, orders, tasks and reminders sit on one screen. Every change is logged with who made it and when.

We move your old spreadsheet data into the new system. If you need a link to accounting or e-invoicing, we build that too through our integrations work. See accounting and ERP integration for how that link works. The system runs in the browser, on desktop and phone. You pay no monthly fee per user. Most off-the-shelf CRMs are sold as SaaS, with a monthly fee for every user.

How the project runs

  1. 01 You write, we reply within a business day Day 0 you write. Day 1 we reply. Day 2 we listen for 30 minutes to how your team works.
  2. 02 One-page quote and definition of done Day 4 you get the quote. Day 5 the definition of done is signed, listing every screen and report.
  3. 03 Build You approve the screens, then we build. One or two people from your team try it every week.
  4. 04 Data import and testing We import the old data and test with real workflows.
  5. 05 Go live and handover We switch over on the promised date, train your team and hand over every login.

What happens once the team starts using it?

For 30 days we fix bugs for free. New requests that come up are written down and compared with the definition of done, so everyone knows what was in scope.

After that, monthly maintenance and support is optional. Data and code are in your name. If you want to leave, one email is enough.

How long does a custom CRM take?

Is there a per-user fee?

No. The software is yours. You only pay for the server, from your own account.

What about our old spreadsheets?

We clean the records and import them. The import is an item in the definition of done.

Can we extend the system later?

Yes. New modules get a new one-page quote and definition of done.

Where is our data stored?

On a server opened in your name. You hold the server access, and backups sit in the same account. Even if you leave us, your data stays where it is.

Can field staff use it on their phones?

Yes. The system runs in the browser and fits phone screens. Field staff open a customer card, add a note and close a task without installing an app.

What changes the price of a custom CRM?

The number of screens and reports, user roles, the state of the data to import and connections such as accounting or e-invoicing. The number of users does not raise the price, because there is no licence. Every item is on the one-page quote.

What should we prepare before we start?

The spreadsheets you use today, a few quote and order examples, and a short description of your workflow are enough. Think about who will use the system and with which permissions. We work out the rest on the first call.

Can the CRM connect to our accounting software?

If your accounting software offers an API or file exchange, usually yes. We can send customers, quotes and orders there and issue invoices through your e-invoice provider. We check this together on the first call.

Is there support after launch?

Yes. We fix bugs for free for the first 30 days. After that, monthly maintenance is optional. New requests are written down and prioritised together.
