Client management for personal trainers: from WhatsApp and spreadsheets to a booking system

A freelance trainer loses the most time around sessions, not in them: arranging bookings, counting remaining sessions, chasing payments. A system where clients book their own sessions and sessions come out of the package automatically closes most of that gap. You do not need to pay to start.

Why does client management get hard?

Client management is easy with five clients: everything fits in your head and your phone. At fifteen, the questions change: how many sessions are left in Ayşe's package, did Mehmet pay last month, who did you promise Thursday at 7 pm? As this spreads across WhatsApp chats, a spreadsheet and a notebook, mistakes are inevitable. They are not small either: a miscounted session means an argument with a client, a forgotten payment means lost income.

The second problem is time. Messages about bookings, rescheduling and payment reminders easily take a few hours a week. Those are hours you could spend training clients.

Your monthly session income and lost time

Change the numbers to match your business. A month is counted as 4.33 weeks.

Monthly income from sessions held
Lost to no-shows
Time spent on admin each month
That time valued at your session price

The most effective way to cut no-shows is a booking system where sessions come out of a package and the cancellation rule is known upfront. Letting clients book their own sessions wins back part of the admin time too.

What should each client record hold?

  • Package and remaining sessions: what they bought, how much they have used and when it expires. The count should drop on its own when a session is held.
  • Payment status: whether the package is paid and, for instalments, the next due date.
  • Measurements: weight, body measurements and goals. Showing progress is the strongest reason to renew.
  • Programme: the training and nutrition plan you assigned, visible on the client's phone.
  • Notes: injury history, preferred times, things to watch.

Cutting no-shows

The best defence against late cancellations is a written rule, such as "free cancellation up to 12 hours before, after that the session comes out of the package". If the rule is written down and the system applies it, you do not have to negotiate each time. An automatic reminder before the session also prevents many forgotten sessions.

Online coaching

In online coaching, the programme and follow-up matter more than the calendar. The client sees the programme in the app and fills in a training log, and you review progress and update the plan. If you coach online, selling monthly packages and checking logs regularly is a better measure than counting sessions.

What does GamGym offer trainers?

For the gym side, see how to choose gym management software. Our own product, GamGym, has a separate account type for freelance trainers. You sign up in a few minutes, get into the panel straight away and add your session types and weekly availability. After the team checks your details, your profile appears in the trainer directory; this usually takes one business day.

  • Clients request sessions from your open hours or pick a package, and requests land in your panel.
  • Each client's package, remaining sessions, measurements and programme live in their own record.
  • You publish session and online coaching packages with prices.
  • Clients follow their sessions, programmes and progress in the GamGym app.
  • Gyms you teach at can add you to their team, with a link to your profile on the gym's page.

Profile, calendar, client and package tracking are free for up to 20 clients, and no card is needed to sign up. Past 20 clients you move to Trainer Pro: 300 clients and 200 SMS a month for 299 TL a month plus VAT. Details are at gamgym.com/en/for-trainers.

Switching

Moving off WhatsApp and spreadsheets in a week

  1. 01 List your clients Write down each client's name, phone, package, remaining sessions and payment status. This is the first data for the new system.
  2. 02 Set up session types and hours Add one-to-one, paired or online sessions with length and price. Enter your weekly availability and days off.
  3. 03 Write your cancellation rule Decide how many hours before a session cancellation is free and tell your clients.
  4. 04 Invite your clients Ask clients to install the app and book their next session there. Using both systems for the first week is normal.

Frequently asked questions

01

I work at a gym. Do I need a separate account?

On GamGym, if your phone number is already registered at a gym as staff or a member, you open your trainer profile from your existing account in the panel, so the same person does not end up with two accounts.

02

I only coach online. Can I use it?

Yes. Choose online coaching when you sign up; you can register without picking a city. People looking for online trainers find you through that filter.

03

What will my clients use?

Your clients request sessions and see their package and programme in the GamGym app. You manage everything from the web panel.

04

Is it really free?

Up to 20 clients, yes: you pay nothing for profile, calendar, client and package tracking, and no card is required. For more clients, Trainer Pro gives you 300 clients and 200 SMS a month for 299 TL a month plus VAT.

05

Can't I just keep using a spreadsheet?

With a few clients, yes. As clients and package types grow, updating remaining sessions, payments and bookings by hand leads to mistakes. The real gain is clients booking their own sessions, which a spreadsheet cannot do.
