## What is a CRM?

CRM stands for Customer Relationship Management. In practice it is software where everything about a customer sits on one card: contact details, call notes, quotes, orders and open tasks.

Here is an everyday case. Your sales rep is on holiday and a customer calls. Without a CRM, the details live in that rep's inbox and notebook. With a CRM, whoever answers opens the customer card and sees the last quote and what was promised. The customer does not have to start over.

## Why does it matter?

Customer knowledge belongs to the company, not to one person. Fewer follow-ups get forgotten, and you can see where sales get stuck. We build systems like this in our [CRM and internal systems](/en/services/crm-and-internal-systems) service. How it differs from an [ERP](/en/glossary/erp) is covered in a separate entry.

## Frequently asked questions

### What does CRM software do?

A CRM gathers every record about a customer in one place. Call notes, quotes, orders and open tasks sit on the same card. Anyone on the team sees the full history on one screen.

### Does a small business need a CRM?

Yes, once customer follow-up is scattered across inboxes and spreadsheets. Forgotten callbacks and lost quotes are the first sign. For a small team, an off-the-shelf CRM is usually enough.

### Off-the-shelf or custom CRM?

Start with an off-the-shelf CRM if your processes are standard. Consider a custom system when the tool does not fit and the team keeps side spreadsheets. The choice depends on customisation cost and how many people will use it.

### Can a CRM connect to other systems?

Yes, if it offers an API. It can link to website forms, email, accounting and your online store, so a lead from your site lands in the CRM without retyping.
